Difficulties with data protection
The planner's work is based on data about the company-customer and the event itself (location, route). We faced the important task of ensuring reliable access to these data both from the client company and from our side.
Multiple tools
The customer had a common list of planning tools. We had to study this list and form several sets of tools for each planning stage. It was also necessary to adapt the tools according to the user's goals.
Need for a single source of truth
Every company needs to be able to control its own offsites. Such functionality is needed to create and plan offsites, as well as to inform employees about scheduled events.
Disadvantages for mobile users
Initially, we didn't have a task to adapt the product for mobile users. However, after analyzing the target audience's needs, such a necessity arose. Most employees want to access data from their smartphones and tablets.
Setting up secure data access
FTL specialists have built a system architecture with full data protection. Information about the customer, team, planned activities (time and location of the event), and the budget is securely protected.
Development of tools for each stage of planning
FTL analyzed the existing list of tools and expanded it. The developers implemented 7 sets of tools for each stage of planning and organizing events: Build an offsite program; Create and plan offsites; Find and book a vendor;
Offsite dashboard implementation
The FTL team has developed a convenient and intuitive dashboard. With it, the company can monitor its offsites in a single source of truth. Each employee has unrestricted access to specific offsite.
Creating a mobile user experience
We considered the wishes of our target audience and created a quality mobile experience. Now every employee can view the necessary information from a mobile device.
The planner allows the creation of offsite programs based on rules and roles to build an effective internal workflow. We added an Internal Marketplace for planning destinations and vacation spots and developed an intuitive Dashboard for monitoring offsites. We've also designed and implemented functionality that allows a company to search for vendors and book locations based on planning inboxes.
The company can assign employees responsible for approvers and approvals. The platform provides Vendor Status Tracking to monitor booking status. Thus, we were able to create an organized place to manage processes related to contracting and billing. In addition, confirmed vendors are automatically included in the offsite agenda.
FTL developers have implemented functionality for sending individual Offsite Invitations to guests. The platform allows the company to manage RSVPs for each offsite, including tracking responses to sent invitations. We also added the ability to inform guests about important event details.
